TERMS & CONDITIONS

Eligibility

The competition is open to individuals who meet the following criteria:

  • Aged 18 years and above
  • Malaysian citizens
  • Non-Malaysian residents currently based in Malaysia
  • Students (local or international) studying in Malaysia (full-time or part-time)
  • Professionals currently residing in Malaysia

Submission Criteria

Entries must meet the following requirements:

  • Artwork must be 2-dimensional
  • Mixed media is allowed
  • Size must be between 2ft x 2ft (minimum) and 6ft x 6ft (maximum)
  • All materials and techniques are accepted, as long as the work is submitted in a 2D format
  • Artwork must be structurally stable and suitable for handling, transportation, exhibition, and storage
  • Entries that are excessively fragile, unstable, or require special installation, maintenance, or display conditions may not be accepted

Entries

All submissions must be made online. Offline entries will not be accepted.

General Requirements

  • Entry must be submitted under the name on NRIC or passport
  • Each artwork must be submitted with a completed entry form
  • Please ensure all personal details (name, email, contact number, address) are accurate

 

Multiple Entries

  • Multiple submissions are allowed
  • Each artwork is considered one entry only
  • Submitting the same artwork more than once will result in disqualification

 

Joint Entries

  • Joint submissions (works created by more than one individual) are allowed
  • One representative must submit the entry on behalf of all contributors
  • All joint contributors must be listed in the entry form
  • Duplicate submissions of the same joint artwork will result in disqualification

 

Important Notes

  • Please ensure all names are spelled correctly as per NRIC/passport
  • No amendments will be made to certificates or records due to errors in the entry form

Judging

  • All artworks are evaluated by a panel of experienced judges appointed by Karex
  • Each submission is reviewed based on its creativity, concept, and relevance to the theme
  • Final results are determined by the judging panel and are final

Shortlisted Artworks

Shortlisted participants will be notified via email on 21 September 2026. Please check your inbox regularly to avoid missing important updates.

 

Original Artwork Submission

Shortlisted artists will be required to submit their original artwork for exhibition and evaluation. Detailed instructions will be provided via email.

All artworks must be:

  • Carefully packaged to ensure safe delivery
  • Professionally prepared for exhibition display

Artists are strongly encouraged to ensure their work is stable, properly mounted (if applicable), and suitable for gallery presentation.

 

Presentation Requirements

Artworks that are not properly prepared for display (e.g. unmounted canvases, rolled works, loose sheets, or unframed pieces where framing is required) may:

  • Be excluded from the exhibition and/or evaluation
  • Be disqualified at the organiser’s discretion

 

Artwork Condition & Packaging

Artists are responsible for ensuring that their artwork is:

  • Structurally sound and not fragile
  • Securely packaged to prevent damage during transportation and handling

 

Damage & Handling

  • Karex will not be responsible for any damage incurred during delivery or transportation.
  • If an artwork arrives in severely damaged condition, it may be disqualified from further evaluation.
  • In such cases, artists may be contacted to arrange collection of their artwork at a later date.

Announcement of Winners

Results will be announced online at aaa.onecondoms.my on 21 November 2026.

All winners will be notified based on the details provided in their entry form. Please ensure all information submitted is accurate, as no amendments can be made to certificates, cheques, or records once issued.

 

Cheque & Certificate Issuance

All cheques and certificates will be issued strictly under the name provided in the NRIC or passport during submission.

No changes will be allowed after submission for any reason.

 

Prizes

Winning artists will receive a cash prize sponsored by Karex, along with a certificate of recognition.

 

Exhibition & Auction of Artwork(s)

Selected artworks will be exhibited at KEN Gallery, TTDI from 1 – 6 December 2026.

Following the exhibition, all winning artworks will be included in an auction.

Please note that:

  • Artists will not receive proceeds from the auction of their works
  • All proceeds will be managed in accordance with the event’s charitable objectives

Announcement of Winners

All submitted artworks must be original and created by the artist.

Any work found to be plagiarised or not originally created by the participant will be disqualified.

If plagiarism is identified at any stage, the organiser reserves the right to:

  • Remove the artwork from the exhibition
  • Withdraw any prizes, titles, or recognition awarded
  • Reassign awards to the next eligible entry, based on the judges’ decision

Exclusion of Liability

All costs incurred in the creation and production of artworks for art against AIDS shall be borne solely by the participating artist(s).

Karex shall not be held responsible for any loss, damage, or liability arising directly or indirectly from participation in the competition.

Any breach of the Terms and Conditions may result in disqualification at the organiser’s discretion.

 

Artwork Usage & Rights

Karex reserves the right to use selected artworks for exhibition, communication, global marketing, and related campaign purposes, while maintaining appropriate attribution to the artist.

Artwork Collection & Return

Collection Period

All non-winning and unsold artworks must be collected within the designated collection period, no later than February 2026.

Collection will take place at the designated address during office hours:

Monday – Friday, 10:00 a.m. – 4:00 p.m.

A minimum of 1–2 days’ notice is required prior to collection. Same-day or last-minute requests may not be accommodated.

 

Collection of Non-Winning Entries

Artists are required to collect non-winning artworks within the stated collection period.

After the final collection reminder, no appeals, extensions, or special arrangements will be accepted unless otherwise stated.

If artists are unable to collect in person, they are strongly encouraged to arrange a self-appointed courier for pickup.

Karex will not arrange or cover courier costs for return of artworks.

 

Uncollected Artworks

Karex will make up to two attempts to contact artists regarding uncollected artworks.

If there is no response or collection is not made within the stipulated timeframe, the artwork will be considered uncollected.

Uncollected artworks may, at the organiser’s discretion, be treated as a voluntary donation.

 

Donated Artworks

Donated artworks may be:

  • Used in future exhibitions, awareness campaigns, or community outreach
  • Digitised or repurposed for educational and advocacy initiatives
  • Donated to partner institutions, galleries, or non-profit organisations

All usage will be done with appropriate credit to the artist and will not be used for commercial profit.

 

Important Notes

Artists are advised to check their email regularly for updates regarding collection arrangements.

Artwork Collection & Return

Karex respects your privacy and is committed to protecting your personal data in accordance with the Personal Data Protection Act 2010 (PDPA).

This notice explains how your personal data is collected, used, and shared in relation to art against AIDS.

 

Personal Data Collected

Your personal data may include, but is not limited to:

  • Name
  • Identity card or passport number
  • Address
  • Email address
  • Contact number
  • Gender
  • Artwork and related submission information

This information is collected during or after participation in the art against AIDS Student Competition.

 

Data Sharing

Your personal data will be kept confidential. However, it may be shared with relevant parties where necessary for competition administration, including:

  • Event partners and collaborators under confidentiality obligations
  • Service providers supporting administration, communication, or logistics
  • Affiliates of Karex
  • Regulatory authorities, law enforcement agencies, or where required by law

 

Your Rights

You have the right to:

  • Request access to your personal data
  • Request correction of your personal data

Nothing in this notice limits your rights under the PDPA.

Copyright & Intellectual Property

All submitted artworks must be original works created by the participant.

If any reference material or third-party content is used, participants must ensure they have obtained the necessary permissions and clearly acknowledge this in the “Creative Rationale” section of the entry form.

Ownership of Artwork

By submitting an entry, participants acknowledge and agree that Karex is granted the right to use, reproduce, display, and adapt submitted artworks for purposes related to art against AIDS.

This includes, but is not limited to:

  • Exhibition and display
  • Marketing and promotional materials
  • Publications, websites, and digital platforms
  • Archival and educational purposes

 

Artist Rights & Acknowledgement

Artists retain moral recognition of their work, and will be credited appropriately wherever reasonably practicable.

By participating, entrants agree not to pursue claims against the Organiser for the permitted use of submitted works in connection with the competition and its related initiatives.

 

Use of Submitted Works

The Organiser may retain, publish, exhibit, reproduce, and adapt submitted works in any medium deemed appropriate for the promotion and development of art against AIDS and related awareness initiatives.
